Overview
We are looking for a well-organized Administrative Assistant to provide support for the Director of Education & Events and Director of Operations. This is a fantastic opportunity to establish working relationships with high-level executives and contribute to the overall efficiency of our organization. You will execute a wide variety of activities. Interact with staff across the organization in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality. Expert-level written and verbal communications skill, strong decision-making ability, attention to detail, and the ability to take the initiative.
Responsibilities
Education & Events
- Manage and act as primary contact for all member communications pertaining to event registrations, cancellations, payments, and inquiries.
- Responsible for event registration and payment arrangements between CNCDA and metro associations.
- Responsible for tracking and maintaining event inventory.
- Assist with Big Market event software used for webinars.
- Provide support during webinars for members who are having issues logging in.
- Create and keep a list of vendors for sponsor gifts.
- Manage event sponsorship fulfillment.
- Assist with:
- Printing badges & confirming lists are correct
- Collating event materials
- Slide deck production
- Packing & Shipping
- MCLE certificate verifications
- Staffing for special events, i.e. annual lobby day, seminars, etc.
Operations
- Maintains, updates, and enters member contact data into association database software.
- Assist with events in our showroom (scheduling, room setup/breakdown, AV, and event paperwork).
- Keep the conference room, workroom, and breakroom clean and organized.
- Other projects and duties as assigned.
Qualifications
- High School graduation or GED required. College degree preferred.
- Strong knowledge of Microsoft 365.
- Ability to learn new programs as needed.
- Great customer service skills and a can-do attitude.
- Ability to independently and autonomously problem-solve while using good judgment.
- Excellent written and verbal communication skills.
- Strong attention to detail and outstanding organizational skills.
- Ability to follow directions, exceptional follow-through, and proactive ownership of tasks.

Pay Scale
DOE: $24.00 – $26.00 per hour – Non-exempt
